Privacy Policy
KaryaDesk is an office management app for tax, GST, accounting and legal practices. It is operated by Umang Jain (“we”, “us”). This policy explains what information the app stores, why, and the choices you have.
1. Information we collect
- Account information. When you sign in with Google or with email and password, we receive your email address, your display name and a unique user ID from Google Firebase Authentication. We never see or store your Google password.
- Office data you enter. Office name and tagline, staff email addresses, and the records you create: client names, contact details, PAN/GSTIN or other identifiers you choose to type, work items, due dates, notices, court case details, fees and payments.
- Technical data. Firebase may process basic technical information (such as IP address, device and browser type) to provide sign-in and keep the service secure.
We do not use advertising, we do not track you across other apps or websites, and we do not access your phone's contacts, camera, location or files.
2. How we use information
- To sign you in and show you only the office you belong to.
- To store and display your office's records to you and to the staff your office owner has added.
- To keep the service working and secure, and to respond to support requests.
We do not sell, rent or share your data with anyone for marketing.
3. Who can see your office data
- Your office. Each office's records are stored separately. Only the office owner and the staff members the owner adds can read or change them. Security rules on the server enforce this; other offices cannot see your data.
- The operator. As the operator of the service, we have administrative access to the database. We will access office data only when needed to provide support you request, fix a technical problem, or comply with law.
- Service providers. Data is stored and processed by Google Firebase (Google LLC) and the website is served by Netlify. They process data on our behalf under their own terms and security practices.
- Legal requirements. We may disclose information if required by applicable law or a valid order of a court or government authority.
4. Where data is stored and how it is protected
Office data is stored in Google Cloud Firestore in the Mumbai (asia-south1) region. Connections use HTTPS encryption. Access is protected by Google sign-in and server-side security rules. The app may keep an offline copy of your office's data on your device so it works without internet; signing out and clearing app data removes it from that device.
No system is completely secure. Office owners should add only trusted staff, remove staff who leave, and keep their Google account protected with 2-step verification.
5. Your responsibilities for client data
If you enter information about your clients, you are responsible for having a lawful basis to do so and for keeping it accurate. Do not store passwords, OTPs, bank login details or full card numbers in KaryaDesk.
6. Retention and deletion
- Your data stays until you or your office owner deletes it.
- Office owners can download a full backup at any time from Office Settings → Backup.
- To delete your account or your entire office, email us at the address below. We will delete it within 30 days, except where we must keep something by law.
7. Children
KaryaDesk is a business tool and is not intended for anyone under 18.
8. Changes to this policy
We may update this policy. The effective date above will change, and significant changes will be shown in the app.
